1. Introduction
Welcome to MedRecruit ("Company," "we," "our," or "us"). We are committed to protecting your personal information and your right to privacy. MedRecruit provides AI-driven virtual recruiting services, Candidate Matching, Evaluation, and Decision (M.E.D.) lifecycle orchestration, and integration services for healthcare systems, staffing agencies, and cross-industry recruitment via our platform at https://medrecruit.pro/ (the "Site").
This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website, interact with our AI agents, use our services, or communicate with us.
2. Information We Collect
We collect information that identifies, relates to, describes, or could reasonably be linked to you ("Personal Information"). Because our services integrate with Applicant Tracking Systems (ATS), Vendor Management Systems (VMS), and job boards, we collect information directly from you, from our clients (staffing agencies and healthcare facilities), and from third-party platforms.
A. Information You Provide to Us Directly
- Account & Client Information: Name, business email, phone number, company name, billing information, and account credentials.
- Communications: Records of live chats, SMS, WhatsApp messages, emails, and social media direct messages (e.g., LinkedIn) when you communicate with our AI agents, virtual recruiters, or support team.
B. Candidate Information Collected via Our Services
When acting as a service provider for our clients (staffing agencies and employers), our AI ingests and processes candidate data, which may include:
- Professional & Employment Data: Resumes/CVs, employment history, education, skills, and qualifications.
- Credentialing Data: Professional licenses, certifications, compliance notes, and background information required for healthcare and specialized staffing (e.g., JCAHO compliance data).
- Application Data: Job preferences, availability, contract types (e.g., PRN, perm), and interview screening responses.
C. Information Collected Automatically
- Usage Data: IP addresses, browser types, operating systems, referring URLs, and interaction data regarding how you use our Site and platform.
- Cookies & Tracking: We use cookies and similar tracking technologies to monitor activity on our Site and store certain information to improve your experience.
3. How We Use Your Information
We use the collected information for the following business and commercial purposes:
- To Provide and Operate our Services: Running AI agents to source, screen, and match candidates with open requisitions from VMS, ATS, and job feeds.
- To Automate Communications: Facilitating omnichannel follow-ups (SMS, WhatsApp, Email, Social Media) for credential checks, pre-screens, and interview scheduling.
- To Improve our AI & Platform: Utilizing Machine Learning models (including integrations with OpenAI, Microsoft, and Google) to continuously refine matching quality, parsing accuracy, and candidate evaluation. We process candidate data strictly in accordance with our client agreements and do not use private candidate data to train public foundation models.
- For Compliance and Operations: Ensuring JCAHO-ready guardrails, maintaining audit logs, and fulfilling legal obligations.
- Marketing and Client Outreach: Sending newsletters, MedRecruit dispatch updates, ROI materials, and service announcements to our business clients.
4. How We Share Your Information
We only share your Personal Information in the following situations:
- With Clients (Employers/Staffing Agencies): If you are a candidate, your profile, resume, credential status, and screening communications are shared directly with the staffing agency or facility managing the requisition via their ATS/VMS.
- With Service Providers: We share data with third-party vendors who provide services on our behalf, such as cloud hosting, data analytics, API integrations (e.g., Bullhorn, Avionté, Rippling, Ceipal), and omnichannel messaging providers.
- With AI Partners: To power our AI agents, certain data is processed through third-party AI models (e.g., OpenAI, Google, Microsoft). This processing is subject to strict data processing agreements to protect confidentiality.
- For Legal Reasons: If required by law, subpoena, or other legal processes, or to protect the rights, property, and safety of MedRecruit, our users, or others.
- Business Transfers: In the event of a merger, acquisition, or sale of all or a portion of our assets.
5. Data Retention and Security
We implement robust, industry-standard technical and organizational measures to protect your Personal Information from unauthorized access, loss, or alteration. We retain Personal Information only for as long as necessary to fulfill the purposes outlined in this Privacy Policy, or as dictated by our clients' data retention policies and legal obligations (such as JCAHO compliance requirements).
6. Your Privacy Rights (GDPR, UK GDPR, and US State Laws)
Depending on your location (including the US, EU, and UK), you may have the following rights regarding your Personal Information:
- The Right to Access: You can request copies of your Personal Information.
- The Right to Rectification: You can request that we correct any inaccurate or incomplete information.
- The Right to Erasure / "Right to be Forgotten": You can request that we erase your Personal Information, under certain conditions.
- The Right to Restrict or Object to Processing: You can object to our processing of your data, including processing by automated AI systems.
- The Right to Data Portability: You can request that we transfer your data to another organization or directly to you.
Because MedRecruit frequently acts as a "Data Processor" or "Service Provider" on behalf of staffing agencies and healthcare facilities ("Data Controllers"), candidate requests to access, delete, or modify personal data should generally be directed to the staffing agency or employer to whom you applied. We will assist our clients in fulfilling these requests.
7. Automated Decision-Making and AI
Our platform utilizes AI to evaluate and match candidates to job requisitions. However, our services are designed to augment human recruiters — keeping placements moving on autopilot while escalating hot talent to humans. If you are in a jurisdiction that provides rights against solely automated decision-making that produces legal or similarly significant effects (like the EU/UK), you have the right to request human intervention, express your point of view, and contest AI-driven decisions.
8. Third-Party Links
Our Site and services may contain links to third-party websites (e.g., job boards, VMS/ATS portals, or social media sites like LinkedIn). We are not responsible for the privacy practices or the content of those third-party websites.
9. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our technology, operations, or legal obligations. We will notify you of any material changes by updating the "Last Updated" date at the top of this policy and, if applicable, via email or a notice on our Site.
